Species and animal selection
For each booking the owner first picks the species (dog, cat, rabbit, bird, reptile, exotic) and then the specific animal from their registered pets. On a first booking they add the animal with name, date of birth and chip number. The patient record exists automatically from the first booking onward.
Apple & Google Calendar sync
Every appointment lands directly in your practice calendar and your vets' personal calendars — Apple, Google, iCloud, Outlook, CalDAV. Add a private appointment or an emergency block there and the booking page knows immediately. Two-way, no duplicate work.
Automatic vaccination reminders
Per animal you record vaccination dates (rabies, distemper, parvo and so on). Six weeks before expiry the owner automatically gets an email with a direct booking link. Routine patients come back without anyone making a call. Recall rates are measurably better than with a manual list.
Pre-op prep notes per service
Per service you set prep instructions: "fast for 6 hours before anaesthesia", "bring the vaccination passport", "keep the animal calm, no walk beforehand". These show up at booking time and in the confirmation email — owners arrive prepared, you skip the briefing.
Separate resources for consults and surgery
Treatment rooms and operating theatres are separate resources. Consultations run in the treatment room, surgery in the theatre — the system technically prevents both being booked at the same time. With multiple vets each has their own staff calendar, freely combinable.
Keep emergencies on the phone
Emergencies stay on the phone — deliberately. The booking page prominently says: "Emergency? Please call 0xxx, don't book online." Routine bookings are structurally separated from emergency triage. You can also mark emergency slots in the online calendar as "phone only".
FAQ
Common questions from vets
Can owners book emergencies online too?
Deliberately no — and that's a feature, not a bug. Online booking is for routine appointments only: vaccinations, check-ups, neutering, pre-op consultations. Emergencies must go through the phone because they need triage. The booking page shows a prominent "Emergency? Please call 0xxx — don't book online" at the top. You can mark emergency-block slots in the calendar as non-bookable online and keep them open for walk-in emergencies.
How does the patient record work for animals?
One record per owner, one entry per animal. Animal details: name, species, breed, date of birth, chip number, allergies, chronic conditions. Plus appointment history (which treatment, when), recent vaccinations with expiry dates, findings. At the next booking the owner picks their animal and you see the history instantly. With multiple animals per owner (dog + cat + tortoise) each one is managed separately.
How exactly do the vaccination reminders work?
When you log a vaccination it automatically gets an expiry date (e.g. rabies + 1 year, distemper + 3 years depending on the protocol). Six weeks before expiry the owner gets an email automatically: "Mia's rabies vaccine expires on xx.xx — book directly here." The click leads straight to the booking page with the right service pre-selected. Recall rates measure 25–40% higher than with manual reminders.
Can I run species-specific consultation hours?
Yes, two ways. First: a species restriction per service ("cat neutering" only bookable when species = cat). Second: day-specific consultations ("Tuesday small-animal hours", "Thursday reptile hours") via time-slot configuration. Both work together.
What about surgery appointments that take a whole day?
Each service has a duration. A pancreas surgery might be 4 hours, a routine neutering 90 minutes. The system blocks the matching time in the operating-theatre calendar. A pre-op appointment (30-min consultation) and a post-op check (15 min) can sit on top as separate services — owners book the package in two clicks.
Can multiple vets work with their own calendars?
Yes. Up to 5 staff members are included in the base plan — each with their own calendar, their own Apple/Google sync, their own consulting hours. Beyond 5 there's a staff add-on. At booking time the owner can pick "Dr. Smith" or "Dr. Jones" or "next available". On-call duty rotates through dedicated on-call slots.
How does payment work?
Payment runs on-site as usual — card, cash, Apple Pay, however you do it today. A deposit (e.g. 30% for expensive surgeries) via Stripe can be enabled per service — very effective at cutting last-minute cancellations on complex operations. Standard consultations stay deposit-free.
Is the data GDPR-compliant — including animal records?
Yes, fully GDPR-compliant. All data hosted in an EU data centre in Frankfurt (Supabase EU-Central), no third-country transfer. Animal records technically aren't personal data in the strict sense, but owner data (name, address, email, phone) absolutely is — and that's fully protected. DPA available in the admin. Owners can request access or deletion by email.
What if an owner brings multiple animals to the same consultation?
Two ways. Either the owner books two back-to-back slots (cleaner for the calendar). Or you set up a "multi-pet consultation" service with a longer duration and a configurable animal count. The latter is less common but handy for the "vaccinate the whole crew once a year" owners.
